Frequently asked questions

What we are often asked in first conversations.

Working together

What happens to our tax adviser?

They remain responsible for bookkeeping, annual accounts and tax returns. We take over payroll within the scope of Section 6 No. 4 of the German Tax Advisory Act, or only HR administration if payroll is to stay with your tax adviser.

In the second case, we prepare the data and hand it over to whoever runs your payroll. We agree format, deadline and transfer method directly with them at the start and resolve their questions without involving you.

What size of business do you work for?

Small and medium-sized businesses, from a trades business with a few employees to companies with well over a hundred. What matters is less the headcount than whether anyone in your business looks after HR. We clarify this in the introductory call.

Do you only work for businesses in Berlin?

No. We work from Berlin for businesses throughout Germany. We do the work remotely and arrange on-site meetings as needed.

Who decides on hiring, pay and dismissals?

You do. You remain the employer of your staff and make all personnel decisions. We prepare them and handle the administration, such as the contract, the registration or the termination letter once you approve it.

How quickly do you respond?

Within one working day in HR Support Plus, within two working days in HR Admin and Payroll. You have a permanent contact person with a trained deputy, so support continues during holidays.

Do we need specific software?

No. We run the payroll software. For time tracking we work with your system or suggest one on request. We draw up contracts with your templates or with templates from our own library.

Do you provide legal advice?

No. Under German law, legal advice is reserved for lawyers. We prepare and implement, while the legal assessment of each case stays with you or your law firm. On request, we coordinate the work with a firm specialising in employment law.

Data and security

How secure is our employees’ data?

Before we start, we sign a data processing agreement with you under Art. 28 GDPR. You remain the controller; we process data only on your instructions and exclusively within the European Union and the European Economic Area. Everyone involved is bound to confidentiality, and we have appointed an external data protection officer.

What happens if our data arrives late?

The payroll cut-off is the 10th calendar day of the month. Anything received later goes into the following month’s payroll. If it’s urgent, we can run a supplementary payroll in the current month on request, charged separately.

Contract and switching

Do we have to commit after the HR Check?

No. The HR Check ends with the report and the results presentation. You decide afterwards whether and how to continue.

How long are we committed?

Term and notice periods for the support packages are set out in your offer. Monthly recruiting packages run for at least six months; single placements end with the assignment.

Can we switch to you mid-year?

Yes. We take over master and annual data from your previous system and check the first test run against your last payroll.

And if we want to switch away later?

Then, within four weeks of our last service, we hand everything over in an orderly way: personnel files as a PDF per person, master and payroll data as an Excel file, plus an overview of running deadlines and open cases. We never withhold personnel files, not even if invoices are outstanding.

Let’s talk first

We won’t try to sell you anything in our first conversation. You describe your situation, and we tell you whether and where we can take work off your hands. Sometimes the answer is: not at all.
